Inviting People to a Meeting

During the scheduling process, you can invite profile users, teams, and guest users to your meeting. All invitees receive a notification that contains the meeting time and date, as well as the phone number and meeting ID needed to join the meeting.

To invite a profile user or a team to a meeting:

  1. From the New Meeting page's Invitees section, enter your invitee's e-mail address. Click Add.

  1. If you wish to search for users, click the Address book icon . The Invitees page opens.

  1. Search for a user by selecting a Search By parameter: Last Name, User ID, Profile, Team, or Group. For Name, enter the information based on your search parameter. The name field is case sensitive.

  2. Click Search. From Search Results, click Add to add invitees to the Current Invitees box.

  1. From the Current Invitees box, select an invitee to modify their information in the Selected Invitee Settings box. As the meeting scheduler, you can change how an invited user receives notifications and attends your meeting.

  2. When finished inviting users to your meeting, click OK to return to the New Meeting page. From the New Meeting page, click Schedule to schedule your meeting.

To invite a guest user to a meeting:

  1. From the New Meeting page, select the Address book icon .

  2. For Name, enter the name of the guest, and then click the Guest button. Repeat this step as required to add more guests.

  3. If you want MeetingPlace to send the guest a meeting notification, from the Current Invitees list, select the guest's name.

  4. Go to the Selected Invitee Settings section and enter the guest's e-mail address in the field provided.

  5. If you want MeetingPlace to outdial to your guest at the start of the meeting, change the guest's Attend setting to "call me", and enter their phone number in the field provided.

  6. Repeat steps 3 - 5 as required.

Note: For MeetingPlace to outdial to guest users your Allow Guest Outdial parameter must be set to Yes. To verify this setting, from the New Meeting scheduling page, click the Meeting Options icon. Scroll down to the Allow Guest Outdial parameter.

  1. When finished inviting guests to your meeting, click OK to return to the New Meeting page. From the New Meeting page, click Schedule to schedule your meeting.
